Job Description

Responsibilities

  • Provide administrative support such as arrange travel, schedule conference calls, meetings and maintain notes, as needed
  • Manage travel vendor relationship and serve as the principal point of contact for all administrative team support needs
  • Coordinate agenda and priorities for the weekly Finance/Operations team meeting; follow up on assigned tasks
  • Assist in preparing and submitting expense reports for the CFO and Finance Operations team
  • Provide ad hoc support to the team such as editing, proof reading, data entry/retrieval, etc.
  • Assist the A/P process with vendor/wire verification and occasionally provide backup coverage
  • Leverage technical capabilities to provide comprehensive support for ad hoc projects such as research, benchmarking and automation initiatives
  • Assist in the preparation and assembly of presentations
  • Coordinate and facilitate workshops and team-building events
  • Assist with finance training workshops and other admin onboarding
  • CRM database entry and maintenance, general filing, mail sorting, photocopying
  • Provide general office support and coverage duties as required
  • Occasional overtime may be required to support and ensure timely completion of priorities

Qualifications

  • Minimum of 2-3 years of related administrative support experience; financial services or accounting knowledge considered an asset
  • Post-secondary education in Office Administration or Business Administration considered an asset
  • Ability to be involved in sensitive and confidential matters related to daily operations
  • High degree of proficiency with computer software tools including Microsoft Office (Word, Excel, PowerPoint, Outlook, Visio)
  • Familiarity with ERP systems and AI is considered beneficial and a willingness to quickly adapt to new applications and processes
  • Ability to work under tight deadlines, well-organized with attention to detail and an ability to deal with multiple priorities
  • Strong self-starter with good organizational and time-management skills
  • Demonstrates outstanding teamwork and possesses exceptional communication skills, consistently fostering a collaborative and positive workplace atmosphere
