The Opportunity

Axiom is looking for an Executive Assistant who can help create clarity in a fast-paced environment. This role supports a high-functioning COO in managing a wide range of operational responsibilities, ensuring information is organized, timelines are maintained, and the right details get in front of the right people at the right time.

You’ll also assist with contract documentation and other confidential material, making comfort with detailed work essential. This is a strong fit for someone who enjoys keeping things organized, supporting senior leadership, and maintaining a steady flow of work during a period of growth and organizational change.

Key Responsibilities

As the Executive Assistant, you will work collaboratively and are responsible for:

1. Executive Support & Operational Coordination

  • Provide comprehensive executive support to the COO, including priority management, scheduling, communication flow, and confidential coordination.
  • Maintain operational discipline by organizing workflows, tracking follow-through, and ensuring alignment across executive priorities.
  • Prepare executive briefs, board materials, high-level summaries, and confidential reports and presentations.
  • Review, organize, and support the management of high-volume legal contracts, ensuring accuracy, compliance, and secure handling of sensitive materials.

2. Integration & Corporate Coordination

  • Support cross-functional integration efforts by coordinating timelines, deliverables, documentation, and communication during ongoing M&A activities.
  • Maintain structured corporate documentation and ensure all stakeholders have timely access to accurate information.
  • Anticipate operational needs, identify risks or gaps, and proactively recommend solutions to keep projects on track.

Qualifications

As the Executive Assistant, you will bring:

The Essentials (Hard Skills)

  • Diploma or degree in Business Administration, Operations, or equivalent experience.
  • 10+ years of progressive administrative or executive support experience, including 5+ years supporting senior leadership.
  • Experience handling highly technical or confidential documentation, ideally within legal, compliance, or contract-heavy environments.
  • Proven background in project coordination or integration activities, ideally within M&A, legal or organizational change environments.
  • Advanced proficiency in Microsoft Office Suite, Teams, SharePoint, scheduling systems, and digital collaboration tools.
  • Experience managing competing priorities, sensitive information, and fast-paced operational workflows.
  • Strong technical aptitude and comfort navigating HRIS, CRM, or financial reporting systems to support cross-functional tasks.
