Bilingual Executive Project and Admin Coordinator

Full time Permanent

Location: Hybrid or fully remote within Canada.

Hours: Monday – Friday, Core Hours 9:00 am – 5:00pm (40 hrs./week).

Client is flexible with hours

Salary: $75K - $85K

Summary:

The Role: Execute on Projects from start-to-finish that have a mission critical impact.

As a Project Coordinator, working hand-in-hand with the CEO, you will take full ownership of multiple projects in the areas of origination (conferences coordination, marketing activities), CE credits, reporting, stakeholder coordination, documentation coordination, project tracking. You will serve as the key point of contact with multiple internal and external stakeholders. Your role is 75% project coordination/execution and 25% administration.

Your responsibilities include:

Project Execution & Coordination

  • Plan, organize, and execute projects from initiation to completion.
  • Coordinate project schedules, timelines, and deliverables to ensure deadlines are met.
  • Track progress of ongoing projects and prepare status updates for leadership.
  • Support team members with documentation, reporting, and follow-up on action items.

Communication & Stakeholder Management

  • Act as a point of contact between internal teams, vendors, and external stakeholders.
  • Coordinate meetings, prepare agendas, and distribute meeting minutes.
  • Maintain clear communication on project updates, changes, and next steps.

Documentation & Reporting

  • Prepare project briefs, summaries, and presentations as needed.
  • Maintain organized project files, documentation, and project management systems.
  • Collect and analyze data to support project reporting and decision-making.

Operational & Administrative Support

  • Manage project-related correspondence
  • Support administrative tasks such as scheduling, document control, and general office coordination.

Qualifications:

  • Bilingual: Fluent in English and French.
  • 5+ years of related experience in Project Coordination and Administration
  • Resilience and determination to follow projects through to completion.
  • High attention to detail and you are comfortable following processes; you sweat the small stuff.
  • Team player
  • Strong communication and relationship-building skills to engage stakeholders.
  • Solid organizational and problem-solving abilities.
  • Experience in life insurance, financial services, or wealth management is a major asset.
  • Very comfortable with technology including Microsoft 365 and CRM platforms (Salesforce experience a plus).
