Job Description

We’re supporting a high growth organization on their search for an Executive Assistant to join their team and support their President and CEO in Montreal.

This is a full time opportunity ( 4x a week in office) for someone who thrives in a dynamic, high-performance environment and knows how to anticipate needs, keep operations running smoothly, and serve as a trusted right hand to busy executives.

What You’ll Do

  • Manage complex calendars, coordinate meetings, and organize travel and logistics.
  • Act as the key liaison between executives, clients, and partners—handling communications with professionalism and discretion.
  • Draft, proofread, and prepare reports, presentations, and correspondence.
  • Prepare materials and briefing documents for meetings; record and track follow-up items.
  • Support special projects, research, and operational tasks to keep priorities moving forward.
  • Manage vendor relationships, expenses, and administrative workflows.
  • Help improve internal processes and keep the team organized and on track

What We’re Looking For

  • 5+ years of experience as an Executive Assistant, Senior Administrator, or Operations Coordinator.
  • Background supporting a CEO of a 50-100 person organization before would be ideal.
  • Exceptional communication and organizational skills.
  • Strong judgment and ability to handle confidential information.
  • Proficiency in Microsoft Office Suite and Google Workspace; experience with CRM tools is a plus.
  • Self-starter mindset — reliable, resourceful, and solutions-focused.
  • Comfortable working independently in a remote environment.
