Job Description

Position: Full-time (40 hours per week)

Reports to: Director of Procurement

Location: Calgary, AB

Travel: Minimal to none

This is a 12-month contract with the potential to extend to 18 months. This is an-office position covering a staff member on Maternity Leave

(Commencing January 2026, ending December 2027 – with possibility to extend to July 2027)

The FF&E Project Manager is responsible for the planning, coordination and execution of all deliveries and installations of mknly procurement projects. They will manage communication between the client, vendors, third-party logistics companies and mknly procurement’s internal design & purchasing teams as it relates to completing projects. The FF&E Project Manager will work closely with mknly procurement’s installation teams and on-site coordinators up to and on the day(s) installations take place. They are responsible for client sign-off post installation, deficiencies, warranty claims with vendors and client aftercare.

This position is crucial to the operations of the company as the final mile of the project is ultimately how the company will be judged by the client, regardless of how well the rest of the project was executed. By taking ownership of a critical aspect of mknly procurement’s value chain, the FF&E Project Manager will represent mknly procurement’s values in all areas of work - implementing best practices in the receiving, delivery and installation of specifications.

Remote work may become part of the role after completion of the probation period; however, this will be at the sole discretion of the Director and will be offered if it aligns with the needs of the company.

Specific Accountabilities:

  • Coordinating with Logistics teams as goods are shipped from vendors to third-party warehouses, updating both clients and the internal team on the status on said goods.
  • Tracking, submission and coordination of shop drawing and sampling approvals (reviewing shop drawings isn’t in the FF&E Project Manager’s scope, this remains with the FF&E design team).
  • Tracking and coordination of change orders, site instructions, scope changes and other material project updates once the project is handed over from the design team.
  • Coordinating with receivers and warehouse to ensure quality assurance (QAQC) procedures are implemented and followed.
  • Working with internal teams to remedy deficiencies identified during QAQC.
  • Securing local delivery and install teams to deliver goods to project sites.
  • Researching, interviewing and vetting new delivery and install teams.
  • Planning and sequencing installations including coordinating with site contacts, contractors and third-party consultants as necessary.
  • Day-of coordination with on-site installers, including remedying of deficiencies.
  • General troubleshooting and problem solving as it relates to project installations.
  • Coordinating final walkthroughs with the client and design team – this may require the FF&E Project Manager to travel to the project site.

Requirements/ Skills:

  • Degree or diploma in project management, interior design or a related field – practical experience will be considered in place of a degree or diploma.
  • 5+ years of experience in a project management role, either in construction, interior design or FF&E.
  • Experience with global shipping and import / export regulations is an asset.
  • Competency using project management software such as Procore is an asset.
  • Knowledge and proficiency in AutoCAD is considered an asset.
  • Experience working in Gather It, or a similar procurement management software is an asset.
  • Understanding of Microsoft Office, in particular proficiency in Microsoft Excel, is required.
  • Knowledge of construction phasing, sequencing and permitting is required.
  • Understanding of building codes and furniture standards is an asset but not required.
  • Exceptional attention to detail and strong communication skills are required.

Key Success Measures:

  • Ability to complete project installations and deficiencies once handed over from the internal purchasing team.
  • Creation of an efficient specification tracking and customer notification system.
  • Company wide improvement in warehouse QAQC processes.
