Job Title: Administrative Assistant – Financial Services

Work Location: Kitchener, ON (in office)

Company: Deverall, Calma and Associates

Employment Type: Full-time (In-Office)

Compensation: Salary range of 37,000 – 50,000 + benefits (commensurate with experience)

Work Hours: 8:30am – 4:30pm Monday to Friday

We are currently seeking a detail-oriented and reliable Administrative Assistant to join our Kitchener office. This role is ideal for someone who is organized, professional, and looking to grow within the financial services industry.

Key Responsibilities:

· Provide daily administrative support to financial advisors and branch operations

· Prepare, process, and track investment applications and documentation

· Handle client inquiries and follow-ups in a timely and professional manner

· Maintain accurate records and ensure compliance with regulatory requirements

· Assist with client onboarding, file management, and internal reporting

· Schedule appointments, prepare meeting materials, and support client communications

· Help maintain and update CRM systems and internal databases

Minimum Qualifications:

· 1–3 years of experience in an administrative role

· Strong attention to detail and organizational skills

· Excellent interpersonal and communication abilities

· Proficiency with Microsoft Office (Outlook, Excel, Word)

· Ability to manage multiple tasks and prioritize effectively in a fast-paced environment

Preferred Qualifications:

· Experience within the financial services

· Experience using Salesforce

· Mutual Fund License (e.g., Canadian Investment Funds Course - CIFC or equivalent) at time of hire or recommended to obtain within 6 months from time of hire (licensing support will be provided)
