Overview

We are seeking a dynamic and detail-oriented Project Administrator to join our team. The successful candidate will play a crucial role in day-to-day execution, monitoring and control of Engineering Projects while supporting the Kongsberg Geospatial Engineering leadership team in achieving their objectives. This position demands strong organizational skills, and ability to multi-task.

Duties Include:

  • Learn, interpret, and apply organizational policies, rules, and regulations to ensure compliance and efficiency.
  • Prepare project Management and Engineering KPI reports for the senior leadership team
  • Assist Engineering Managers and Project Managers with preparation of live project reporting.
  • Maintain an efficient tracking system.
  • Supporting new and ongoing engineering projects from project planning to execution and close-out.
  • Ensure all documents are organized, accessible, and updated in the Knowledge Management System (KMS).
  • Assist in the preparation and planning of meetings, including setting objectives, and drafting agendas for meetings.
  • Plan monthly project meetings.
  • Maintain and update status reports, and KMS dashboards.
  • Responsible for drafting, updating and maintaining project management templates to ensure consistent use across projects
  • Accurately input and manage data related to project execution and staff allocations.

Required Skills and Qualifications

  • Strong written and verbal communication skills.
  • Experience in document preparation and proofreading.
  • Ability to handle confidential material with discretion.
  • Manage multiple responsibilities, including meeting arrangements and project correspondence.
  • Comfortable working independently as well as collaboratively within a team setting.
  • Proficiency in MS Office (Word, Outlook, Excel, and PowerPoint).

You have:

  • A Canadian security clearance or eligibility to obtain one.
  • Diploma or certificate in project management or similar; or a combination of education and related work experience.
  • Minimum 2-3 years of experience in project administration, office administration or related experience.

It will be great if you have:

  • Experience with Notion
  • Experience with Azure DevOps
  • Experience with military/aerospace domain
  • Experience with software or technical projects
