The Role

We are looking for a professional, dynamic, authentic team player and active person to deliver the best workplace experiences to the employees. This person will be responsible for facilities and office related activities and be a dynamic change champion to make a collaborative workplace at the office.

This role includes managing all day-to-day office processes, plan and support the site engagements, and maintaining the overall facility. You will have knowledge and experience of managing contractors, being able to manage the local helpdesk, coordinate office moves and ensure we are compliant with company Health & Safety.

This is an office-based position.

What You’ll Do

  • Deliver first class customer service to all our customers. Customers will include Veeva clients, employees and contractors, etc.
  • Ensure that the office runs smoothly on a daily basis by supporting office functions in a fast-paced environment.
  • Managing/coordinating office moves and changes.
  • Negotiate and monitor contracts terms and implementation with all external suppliers (utilities, building maintenance, landlord etc.), collect and control all related invoices
  • Liaise with the landlord on any maintenance, security and health & safety issues. Maintain a safe and secure working environment
  • Ensure a welcoming reception experience for employees and visitors. Manage mail/shipping functions for the office. This position will be responsible for maintaining a presence near entrance
  • Manage the office supplies and stationery, stock control
  • Planningand execution of workplace engagement activities/team events
  • Work with employees to make a pleasant work environment

Requirements

  • At least 4 years of office or facilities management experience
  • Has growth mindset and positive attitude ensuring the best performance in a fast-changing company
  • Project management and budget management experience
  • Good level of computer literacy with proficiency in office applications
  • Good command in both Japanese and English
  • People oriented, with superior communication and interpersonal skills
  • Strong passion in partnering with team and stakeholders to help drive engagement and an inclusive office/site environment for all employees

Nice to Have

  • A pro-active, positive approach to problem-solving, flexibility
  • Experience working in a global company
  • HR operation admin support experience is a plus
