Job Description


We are seeking an experienced and detail-oriented full time Office Manager to oversee the day-to-day operations of our firm and support our team of lawyers and staff. The ideal candidate will have strong organizational skills, experience in bookkeeping, and a background in a legal or professional office setting.
Key Responsibilities
Manage the daily operations of the office, including supplies and facilities management, and administrative workflow.
Oversee client intake, file management, and document control processes.
Handle accounts payable/receivable, bank reconciliations, and trust accounting in compliance with the Law Society regulations.
Prepare and process payroll, expense reports, benefits and financial summaries.
Process CRA, GST and PST remittances.
Assist with budgeting, financial reporting, and year-end preparation.
Maintain office equipment and liaise with vendors and service providers.
Handle HR functions including onboarding, performance tracking, and policy compliance.
Implement and improve office procedures to ensure efficiency and accuracy.
Qualifications
Minimum 3-5 years of office management experience, preferably in a law firm or professional services environment.
Proficiency in bookkeeping and accounting software (e.g., PCLaw, QuickBooks, or similar).
Strong understanding of trust accounting and Law Society compliance requirements.
Excellent communication, leadership, and organizational skills.
High level of accuracy and attention to detail.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office technology.
Ability to handle confidential information with discretion.
